Client portal
Give a customer read-only access to their invoices, work orders and sites.
The client portal lets a customer look up their own invoices and work orders without phoning you. It is read-only — customers can see their records but cannot change anything.
Giving a customer access
Open the customer in Customers, then choose Client portal access from the row's Actions menu.
Generate a PIN
Choose Generate PIN. Syncentra creates a code the customer uses to sign in.
The PIN is shown only once
Write it down or copy it straight away — it cannot be retrieved later. If it is lost, choose New PIN to issue a replacement.
Share it securely
Send the PIN to the customer through a channel you trust. Do not put it in a public message.
Confirm what they sign in with
The PIN alone is not enough — the customer also identifies themselves with details you already hold:
- Business customers — email address, phone number, Chamber of Commerce number and PIN.
- Private customers — email address, phone number and PIN.
This is why accurate customer records matter: a missing Chamber of Commerce number blocks a business customer from signing in.
Managing access
The access screen shows the current Status:
- Not set up yet — no PIN has been generated.
- Active — the customer can sign in.
- Disabled — access is switched off.
You can Enable or Disable access at any time, and the Last login line shows when they were last in. Disable access when a customer relationship ends — the records stay intact, only the login stops working.
What the customer sees
Signing in at the portal, a customer gets:
| Section | Contents |
|---|---|
| Invoices | Their invoices, filtered by Outstanding, Paid or All. |
| Work orders | Visits with status and dates. |
| Locations | The sites registered to them. |
| Contracts | Their service contracts. |
The portal states that it is read-only and directs any change requests back to you, so customers know to call rather than expecting to edit.
